  • To comply with licensing regulations and maintain service standards, all food and beverages served on the premises must be prepared by the Hilton Vancouver Airport Hotel. Wedding cakes are permitted from outside vendors. In certain cases, culturally specific dishes not prepared by the hotel may be approved with prior authorization; a waiver and additional service fees may apply.

  • Outside alcoholic beverages are not permitted. All alcohol must be purchased and served by the hotel, as it operates under its own liquor license. If you have a preferred brand or specific selection in mind, the hotel can request it through approved suppliers and, subject to availability, provide pricing for purchase and service for you and your guests.

  • Beverages are charged based on actual consumption, with prices listed per drink on the catering menu. Standard pricing reflects a single-pour serving size. Shots and doubles are available only if requested in advance by the bride and groom and approved by the Catering Manager. Alcohol service ends at 1:00 a.m. (12:00 a.m. on Sundays). A $150 + GST bartender fee applies if the total bar consumption is less than $500 net.

  • The banquet room rental provides access for setup and teardown, room transformations from ceremony to reception, and adjustments for dining and dancing. Included are standard tables and chairs, black or white table linens, and matching linen napkins. Professional banquet staff are also included to manage all room setups and transitions during your event.

  • Dinner buffets are typically offered for up to 90 minutes. In accordance with FoodSafe regulations, buffet service cannot exceed a maximum of two hours.

  • All food and beverage prices are guaranteed 30 days prior to the event date. Menu pricing is based on a per-person rate unless otherwise specified. Children’s pricing is as follows: children under 6 years of age dine at no charge, while children aged 6 to 12 are charged at half price.

  • Audiovisual equipment for your event can be rented through the hotel’s in-house provider, Encore. If you choose to use an outside AV company, a service fee may apply for storage or setup. Clients are also welcome to provide their own audiovisual equipment, but a $300 patch fee will apply for any AV materials not supplied by Encore or the Hilton.

  • SOCAN (Society of Composers, Authors, and Music Publishers of Canada) and Re:Sound fees are licensing tariffs required whenever live or copyrighted music is played during your event. The cost is determined by the size of the function space being used. Your Catering Sales or Events Manager can provide additional details and guidance regarding these fees.
